Privacy Policy
How PortSys collects, uses, shares, and protects your personal information — and the rights you have over it.
Effective date: 21 May 2026
This Privacy Policy governs the collection and use of personal information that PortSys, Inc. (“PortSys,” “we,” “us,” or “our”) uses for business and marketing purposes. Please review it carefully. By using our website, services, or otherwise providing personal information to us, you agree that we may use your personal information in accordance with this policy.
PortSys uses commercially reasonable safeguards to help protect your personal information, and seeks agreement from its business partners to protect the confidentiality, security, and integrity of personal information we share with them. However, no electronic data transmission or storage can be guaranteed to be 100% private and secure.
1. Information We Collect
We may collect personal information you provide directly, such as your name, company, email address, mobile phone number, and phone number.
We also gather certain information automatically as part of standard website operation. This may include your IP address, browser type, operating system, the pages you view on our site, and other information that helps us understand our customers and their interests.
We may receive information about you from other sources, including third parties from whom we have obtained data such as name, title, company, email address, physical mailing address, phone number, and information about an advertising link clicked, information requested, or event registered for. We may combine this with information we already hold to update, expand, and analyze our records, identify new customers, and provide products and services that may interest you.
If you provide us with a third party’s personal information (such as their name, email, or phone number), you represent that you have that person’s permission to do so.
2. How We Use Information
PortSys uses personal information to operate our business, provide customers and partners with information and services, understand your needs and interests, improve our websites, send business communications, and for other legitimate purposes permitted by applicable law. Specific uses include:
- Processing your order for a product or service
- Product demonstrations and proofs of concept

- Fulfilling requests for reports, white papers, or data sheets
- Registering you for programs, events, seminars, promotions, or sweepstakes
- Administering surveys, questionnaires, or evaluations
- Providing newsletter subscriptions and sending marketing communications
- Registering you as a partner or creating an account
- Enabling features of our products and services, including mobile applications
- Personalizing websites, newsletters, and other communications
- Providing customer support
- Managing a job application
- Protecting the security of our website and business
We and any third parties we engage may combine information collected over time and across our websites and solutions with information from other sources to improve accuracy and completeness and to better tailor our interactions with you.
3. Legal Bases for Processing (GDPR / UK GDPR)
If you are located in the European Economic Area (EEA) or the United Kingdom, we process your personal information only where we have a valid legal basis to do so. Depending on the context, our legal bases include:
- Consent — where you have given clear consent for a specific purpose, such as receiving marketing communications. You may withdraw consent at any time.
- Contract — where processing is necessary to perform a contract with you, or to take steps at your request before entering into a contract.
- Legitimate interests — where processing is necessary for our legitimate business interests (such as improving our products, securing our systems, and understanding our customers), provided those interests are not overridden by your rights.
- Legal obligation — where processing is necessary to comply with the law.
Where we rely on consent, you have the right to withdraw it at any time without affecting the lawfulness of processing before withdrawal.
4. How We Share Information
On a global basis, PortSys may work with business partners to provide products, localized services, and support. We may share limited personal information with PortSys business partners who resell PortSys products so they may transact business.
We may disclose your personal information, without notice, only if required to do so by law or in the good-faith belief that such action is necessary to: (a) conform to the law or comply with legal process; (b) protect and defend the rights or property of PortSys; or (c) act under exigent circumstances to protect the personal safety of users of the PortSys website, our products, or the public.
PortSys does not sell or rent personal information to third parties.
This includes end-user personal information such as mobile phone numbers, which we do not share, rent, or sell to third-party organizations for marketing purposes.
5. Cookies & Tracking Technologies
Like many websites, PortSys uses automatic data collection tools such as cookies, embedded web links, and web beacons. These tools collect standard information your browser sends to our website, such as your browser type and IP address, as well as clickstream behavior — the pages you view and links you click — which helps us customize your experience and recognize you when you return.
Our website may include code that provides specific functionality (sometimes called widgets), which may be provided by third-party companies. Examples include surveys, news feeds, stock quotes, or marketing analytics. Widgets may set their own cookies; information collected by a widget is governed by the privacy policy of the company that created it.
The cookies we use fall into the following categories:
| Category | Purpose |
|---|---|
| Necessary | Essential for the website to function and for basic security features. These are always enabled and cannot be switched off in our systems. |
| Functional | Enable enhanced functionality such as sharing content on social media platforms and collecting feedback. |
| Performance | Help us understand and analyze key performance indexes of the website to deliver a better user experience. |
| Analytics | Help us understand how visitors interact with the website, providing information on metrics such as number of visitors, bounce rate, and traffic source. |
| Advertisement | Used to provide visitors with relevant ads and marketing campaigns and to track effectiveness. |
| Others | Uncategorized cookies that are being analyzed and have not yet been classified. |
You can manage your cookie preferences at any time through the cookie consent controls on our website. You may also refuse cookies through your browser settings, though some features of the website may not function properly as a result.
Google Analytics
This website uses Google Analytics, a web analytics service provided by Google, Inc. (“Google”). Google Analytics uses cookies to help analyze how users use the site. Information generated about your use of the website is transmitted to and stored by Google on servers in the United States, and used to evaluate your use of the website and compile reports on website activity. The IP address conveyed within the scope of Google Analytics is not associated with any other data held by Google. You can opt out of Google Analytics by installing the Google Analytics Opt-out Browser Add-on.
Do Not Track
Many web browsers offer a “Do Not Track” feature that signals to websites that you do not want your online activities tracked. This is different from blocking or deleting cookies; browsers with “Do Not Track” enabled may still accept cookies.
6. International Transfers
PortSys is a global organization. We may transfer your personal information to the United States, to any PortSys subsidiary worldwide, or to third parties acting on our behalf, for the purposes of processing or storage pursuant to this policy. By providing personal information to us, you consent to the transfer, processing, access, and storage of that information outside of your country of residence, where data protection standards may differ from those in your jurisdiction.
Where we transfer personal information out of the EEA or United Kingdom, we take steps to ensure appropriate safeguards are in place as required by applicable data protection law.
7. Data Retention
We retain your personal information as needed to fulfill the purposes for which it was collected, and as necessary to comply with our business requirements and legal obligations, resolve disputes, protect our assets, and enforce our agreements. When personal information is no longer needed, we take reasonable steps to securely delete or anonymize it.
8. Your Privacy Rights (GDPR / UK GDPR)

10. Data Security
PortSys uses commercially reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, disclosure, alteration, and destruction. While we work to protect your information, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
11. SMS & Mobile Information
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All categories of sharing described in this policy exclude text-messaging originator opt-in data and consent; this information will not be shared with any third parties.
12. Children’s Privacy
Our website and services are intended for businesses and individuals aged 18 and over. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us at privacy@portsys.com and we will take steps to delete it.
13. Changes to This Policy
PortSys reserves the right to modify this Privacy Policy as needed — for example, to comply with changes in laws, regulations, or our practices and procedures, or requirements imposed by data protection authorities. When we make material changes, we will update the effective date at the top of this page. This statement and the policies referred to herein are not intended to and do not create any contractual or other legal rights.
